INFORMATION TECHNOLOGY AND TELECOMMUNICATION COMMITTEE MEETING MINUTES

September 14, 2005


ATTENDANCE: Karen Del Vecchio, Tom Schadlich, Tom Hamilton, Hal Alvord, Frank Sarno, David Lepus, Larry Manzi, Gerald Foley, Al Kao, Mike Yeosock, Ed Toth, Paula Palermo, Dave Wrinn


Meeting was called to order at 3:05 PM.

The minutes from the September 7th meeting were approved.

Status of Telephone Solution: Karen Del Vecchio said that they are reviewing invoices from AT&T. Revised contract should be ready to go out to AT&T by the end of the week. Looking into phone systems for South Norwalk Library.

RCC: Status of Police Station & McMahon projects - no update RCC not present.

Status of Cabling RFP: Gerald Foley said that bids are due on September 22, 2005.

Status of MAN: Karen Del Vecchio said that Stepping Stones Museum and Nathan Ely both want to be connected to the MAN. Make ready work for city hall will be completed this week. Fiber is in for all locations of Phase 1. Walk though of all Fire Department locations today to determine best locations for fiber. Revised numbers for the aquarium are ready.

Training: Paula Palermo said that she is ready to set some training dates. Frank Sarno said that she should include Code Enforcement department in training.

Customer Service Center: Hal Alvord said that he has his full staff, cityworks is installed on the server and the application software is installed on all pc’s and data is being loaded. Karen Del Vecchio said that the Mayor’s kickoff meeting with department heads to discuss the customer service center and webaccess was yesterday the 13th. Department head must send all common FAQ’s back to the customer service center so they can compile them. Frank Sarno said that some patriot data needs to be brought over to the customer service database on a routine basis. There was also discussion on how voter lookup would be handled. Hal Alvord suggested meeting next week to discuss these issues.

Miscellaneous/New Items:
Law Department Contract Management Software: Frank Sarno said that he installed the Demo version on 2 pc's and he believes we will need to order the enterprise version at $9000.00 for 5 users, and $600 per additional user (the quote was attached to the ITT agenda). There was a discussion about who would need access to this software. Law dept reviewed demo version and said it looks ok. Gerald Foley stated that with additional users and training the cost will be way over the $10,000 limit. Tom Hamilton said that this item was not funded. Larry Manzi asked how much the access version was and if some users could be limited to read only access. Frank Sarno stated that the cost for the access version was $3,400 and that the user security was not in the access version. Tom Hamilton asked if the Law department had a project manager, and who would be responsible for setup of the database and what are the steps needed to setup the database. Tom also asked if this was the best package out there and how it was selected. There was general discussion on who will be responsible for setup and project management. Karen Del Vecchio said that she researched several packages and narrowed it down to Blueridge, but it was not an extensive research and was done quickly and looked good from an IT perspective. Tom Hamilton suggested meeting with the Law department.


Cellphones and ITT communications: Gerald Foley said that he received some requests back from departments but need a list of all other departments needs (phones and features). Karen Del Vecchio suggested that all department heads send their requests to Gerald.

MUNIS Version 2004/ SQL upgrade and migration project: Karen Del Vecchio said that the council approved the request last night and she will order the server and get the request into Munis. Karen also mentioned that we need three (30 amp) circuits in the computer room.

Copier product schedules: Gerald Foley sent emails to all departments with expired leases and he has tabulated the list of expired machines. 17 new copiers are on order, 10 are for police and 7 at city hall.
Several departments have still not responded with their needs.

2005-2006 Desktop Refresh Program: Karen Del Vecchio said that she is waiting on a quote from Dell.
Dell will not ship a few at a time, so they will have to be ordered in groups.
