TECHNOLOGY AND TELECOMMUNICATION COMMITTEE MEETING MINUTES

September 28, 2005
ATTENDANCE: Karen Del Vecchio, Ralph Valenzisi, Frank Sarno, David Lepus,
Larry Manzi, Gerald Foley, Mike Yeosock, Tom Schadlich, Paula Palermo, Dave
Wrinn, Ed Schmidt
Meeting was called to order at 3:08 PM.
The minutes from the September 21st meeting were approved.
Status of Telephone Solution: Karen Del Vecchio said that there was no feedback from the Law department of from AT&T. Working with John Hawley to discuss McMahon Phase 2.
RCC: Status of Police Station & McMahon projects - no update RCC not present.
Status of Cabling RFP: Gerald Foley said that Peter Berry will be here next week to review the bids that were due on September 22, 2005. We received 4 bids and they will need to be ranked and rated. All bids came in over the $120,000 budgeted amount. There was a discussion on the number of days it will take the vendors to finish the cabling.
Status of MAN: Karen Del Vecchio said the Joe Forran provided
a Phase 1 turn up and test schedule. We are looking at mid October to finish
Phase 1 for City and BOE. We will need to test equipment and network and give
acceptance. Ed Schmidt asked how long we have to test and accept. Ralph Valencia
said that we will need to have redundancy of the T1’s for the BOE. Karen Del
Vecchio said that the call manager and voice mail can be moved back over to
the Police. Phase 2 is on target for spring 2006.
Transit District Agreement for phase 1 MAN: Mike Yeosock said we need to update
agreement to include the cost of equipment change for cameras in the agreement.
Training: Paula Palermo said that she is ready to set some training dates and is putting together some courses. The two courses are “windows” and “spam management”.
Customer Service Center: Frank Sarno said he will be meeting with DPW to discuss the exchange of data between systems.
Miscellaneous/New Items:
Law Department Contract Management Software: Karen Del Vecchio said that there
will be a meeting next week with the Mayor, and Diane will be the project
manager.
Cell phones and ITT communications: Gerald Foley said that he has heard that Cingular will release push-to-talk in October and that Pam Stark contacted him discussing grant funding for cell phones etc… Gerald said that he received Hal Alvord’s requirements.
MUNIS Version 2004/ upgrade: Gerald Foley said that when going to order server the processors did not match with quote. He will check with HP. Karen Del Vecchio made a request into Munis so we can get a date in December. Karen also mentioned that we need three (30 amp) circuits in the computer room. IT department will have to setup server.
Copier product schedules: Gerald Foley said that the copiers went out. Training will be scheduled for next week. More will be ordered for other departments.
Web Sites Privacy Policy: Karen Del Vecchio said that it is an industry best
practice to have a privacy policy for the web site. Users need to know what
is being done with their information. The policy was created from several
of the industries best web sites privacy policies and reviewed by the web
content group before being reviewed by the law department. We are asking this
committee to review the attached privacy policy and provide feedback. There
was discussion on privacy and linking policies.
For Informational Purposes: Tim Sheehan requested 3 dell laptops
and software. Items will be brought to the committee next week.
DPW wants GIS system in some vehicles. There was discussion on what other
departments could benefit from GIS and looking at an enterprise wide solution.
