TECHNOLOGY AND TELECOMMUNICATION COMMITTEE MEETING MINUTES

Minutes of September 29, 2004 were reviewed. The minutes were unanimously approved with one change to the Amount of 341.10 for a monitor in the Fire department,
City Telephone Solution Recommendation: Peter Berry stated that
the contract is being reviewed by
Legal, for both the Police and McMahon. RCC is looking at connectivity issues
between buildings.
Ed Schmidt said there is a problem locating a classroom with the 911 system
and we need to decide if we want classroom information to be transmitted with
the 911 call. There was a general discussion on if the classroom information
would be a priority.
RCC: Police Station & McMahon: Peter Berry said that they were doing a final review of the A/V proposal for the Police Station. Peter mentioned that McMahon will be considered a relocation of the DeMarc and it may cost up to $10,000 and SBC is waiting for a check for $189 before they can procede.
Status of MAN: DBO received the final draft of the contract
on Friday and will be reviewing.
DBO also gave a quote for the temporary connectivity of the phone call managers.
Tom Hamilton started a discussion about Erate. We did receive some questions
back on our proposal, but Erate funding is currently frozen.
Training: Karen Del Vecchio stated that there will be two classes
in October (26th and 28th) and another two classes in November (8th and 10th).
The classes will cover Email, housekeeping, calendar,
Windows tips and tricks and other areas.
Customer Service Center: There are still some items to work out as well as software and hardware needs with Cityworks. Ed Schmidt said we need to find out how Cityworks integrates with with the phone systems.
Other Business:
PC warranty 3 year versus 5 year: Rachelle said that Dell does not offer a
5-year warranty anymore.
4 years is an additional $44. The standard warranty is 1-year. We still need
to look into this and the history of our repairs. Ed Toth suggested that we
look into getting our techs certified by Dell.
Opportunity 'The permit process' : Karen Del Vecchio said that IT is gathering requirements from Code Enforcement for processing permits, and IT will be contacting all city departments that may need a similar process and can benefit from it. Several departments do inspections or issue permits and we need a way to communicate between the departments. Ed Schmidt said that we have hand held devices for parking and we should look into using one hand held device for multiple applications.
City Website Strategy: Karen Del Vecchio said that the city website was ranked third best municipal website in the state, but we need to look to the future in providing access to more forms, registration, payment processing and functionality for the visitors as well as the employees. She also said that the City IT department is pulling together all city websites and content managers to discuss policies, procedures, common domain names and changing to a uniform look and navigation throughout all the domains.
